A two-day on-campus LAN esports event for shortlisted BGMI and Free Fire teams, with the Semi-Finals and Grand Finals conducted physically at IIT Gandhinagar and supported by live broadcast production.

For up to 144 registered teams, Knockout and Qualifier rounds are conducted online for smoother operations. Shortlisted teams then come to campus for two days of Semi-Finals and Grand Finals. If registrations are materially lower, the complete tournament can instead be conducted offline at LAN, subject to venue capacity, schedule and operational feasibility.

Clear tournament structure.
This proposal is for an offline LAN event at IIT Gandhinagar. The qualifying stages are kept online only when registration volume makes that approach operationally smoother. The physical event is centered on the Semi-Finals and Grand Finals.
The tournament plan is designed around a target of 144 registered teams.
For higher registration volume, early rounds are conducted online to reduce on-ground load.
Shortlisted teams compete physically in Semi-Finals and Grand Finals on campus.
Live broadcasting remains available for the Semi-Finals and Grand Finals.

The main tournament prize pool is fixed at ₹20,000, split equally between the two titles: ₹10,000 for BGMI and ₹10,000 for Free Fire.

The fixed base cost combines the ₹20,000 prize pool and ₹15,000 tournament management and operations cost for the entire event. Venue, seating and optional physical-event enhancements are separate.

₹15,000 is the proposed tournament management and operations cost for the entire event, covering the competition process from registration through final results and LAN-stage execution.

Two-day on-ground execution.
Player check-in, match coordination, tournament desk, on-ground administration, team communication and coordination of Semi-Finals and Grand Finals.
Semi-Final + Grand Final.
Live production support for Semi-Finals and Grand Finals, including observer/spectator feed, stream management, scoreboard, match information, graphics and commentary/casting coordination.
Results & winners.
Final result verification, winner announcement, prize distribution coordination and event-close support.

The ₹35,000 base proposal does not assume a fixed spend on venue styling, seating, banners or additional campus activities. The final physical-event cost should be decided according to the scale IIT Gandhinagar wants for the LAN experience.
Venue by IIT
The venue is expected to be provided by IIT Gandhinagar as part of the offline event arrangement.
Seating arrangement
Seating and basic venue arrangement are expected to be handled by IIT Gandhinagar. If Universal Esports is required to arrange seating or related infrastructure, the associated cost will be charged additionally.
Spend as required.
Banner printing, standees, backdrops and other physical branding are not locked into the base budget. Quantity and quality can be decided based on the desired event scale.
Additional campus activities.
Any additional activities, audience engagement setups, décor, giveaways or other event enhancements can be added according to the budget IIT wants to allocate.
Available for finals.
Live broadcasting is available for the Semi-Finals and Grand Finals. Broadcast requirements remain part of the tournament execution scope.
Choose the experience.
The offline event can remain operationally simple or be expanded with additional physical elements. Spend therefore depends on the experience IIT wants to create.

For the 144-team registration plan, only shortlisted teams move to the physical stage. Semi-Finals and Grand Finals are conducted over two LAN days, with live broadcast available for these stages.

The ₹35,000 base tournament proposal should not be treated as the final physical-event spend. IIT Gandhinagar can decide how much additional budget it wants to put into the venue experience, branding and activities.
Additional offline costs are requirement-based
Venue: provided by IIT Gandhinagar. Seating: arranged by IIT Gandhinagar, or charged additionally if Universal Esports arranges it. Banners / branding: based on the quantity and quality required. Activities: based on which additional campus activities IIT wants. Other physical requirements: quoted separately when defined.
Planning principle: first lock the ₹20,000 prize pool + ₹15,000 tournament management and operations = ₹35,000 base cost. Then decide the additional physical-event spend according to the desired scale of the LAN event.
